Job Description

The team administrators are responsible for the organisation and smooth running of the team under their care, with the aim of facilitating the performance of teams by working in close partnership with the team coach. This will encompass ensuring that pre-season and regular training sessions are organised as required by the coach and that coaches have access to the equipment necessary to run their sessions; they are also responsible for arranging home matches and organising travel itineraries for away fixtures. 

Team Administrator positions are yearly elected posts, with holders chosen from amongst the team which they will represent. Team administrators form their own sub-committee reporting directly to the Club Captain, any decisions that need to be made by the team administrator sub-committee are done so on a one-person one-vote basis.

Responsibilities

Team administrators sole responsibility is the organisation, welfare and safety of their team and the club members that are part of that team; they are not responsible in any part for the selection of match day teams or the decision making process to include players in their teams.

The post holders are not responsible for any other committee positions and report to the Club Captain; they do not have voting rights on the main club management committee.

Training and Support

It is envisaged that any new team administrators will attend University of Birmingham Sport training days that cover most aspects of team organisation and University administration. Other training requests will be considered on individual basis when brought forward either by the post holder, Club Captain or the Head Coach.

The team administrators will receive mentoring from the Head Coach, Club Captain, appropriate team coach and University of Birmingham Sport administrators.

Commitment

The time commitment of this post is envisaged to be 2 hours each week, rising to 4 hours per week during the first month of the volleyball season.

In addition, the Team Administrators are expected to:

  1. Attend all team administrator sub-committee meetings.
  2. Attend disciplinary committee meetings when involving club member from their team.
  3. Act as the club’s representative at other meetings as requested.

Main Duties

1.Administration

1.1.         Assist the Club Captain in making sure all team members complete a membership form.

1.2.        Assist the Club Captain in ensuring all team members have paid the appropriate fees.

1.3.        Take responsibility for making sure players are registered for the appropriate competitions.

1.4.        Distribute training and match kit and collect deposits for match kits.

1.5.        Assist the coach in keeping attendance records.

1.6.        At the request of the coach book facilities that have been budgeted for in the team’s expenditure.

1.7.        Arrange transport and directions for away matches.

1.8.        Arrange, and at the appropriate time confirm, referees, scorers and line judges for home games.

1.9.        Ensure that players are aware of their fixtures well in advance and that the coach is aware of players’ availability.

1.10.     Organise rotas for team members to complete their line judging and scoring duties.

1.11.      Assist the club’s Coach Development Officer in their coach review and player feedback exercise.

1.12.     Process all expenses incurred by the team during its weekly schedule.

 

2. Communication

2.1.    Ensure that all issues raised by team members are brought to the attention of the Club Captain and team administrators sub-committee.

2.2.   Communicate decisions made by the management committee to team members.

2.3.   Assist the Events & Social Officer in promoting social events to members.

2.4.  Liaise with the team coach to keep them informed of management committee decisions.

3. Welfare

3.1.    Make suggestions to the Club Captain on how the club can better provide for its membership.

3.2.   Make sure all members are aware of the benefits and services they can access through the club, especially in relation to injury prevention and rehabilitation.

3.3.   Maintain regular contact with injured team members and keep the coach and team captain apprised of the player’s status.

4. Leadership

4.1.   Assist the Club Captain in dealing promptly with any disciplinary issues which may occur within the team, referring to the Club Committee where necessary.

4.2.  To be aware of relevant competition rules and regulations, keeping up to date on any changes and ensuring that all relevant members of the club have the same important level of knowledge.

4.3.  Act as team spokesman and deal with public relations.

4.4.  Facilitate team meetings and ensure that action points are agreed and delegated, and minutes are taken and distributed to all team member, coach, and Club Captain.

 

Expenses

All out-of-pocket expenses, such as telephone, printing and postage costs, will be reimbursed by the club. Funding for additional activities must be first approved by the management committee.

Skills and Qualities

This is a post that involves a lot of administration and attention to detail. Failure to fulfil certain tasks could result in the team forfeiting and losing matches. You will probably have an interest in helping a team achieve its full potential.
