Job Description

The Events and Social Officer will be responsible for the planning and organisation of club events (such as summer grass tournaments, trips abroad and to national volleyball events), social activities (such as Christmas social), and the annual Awards Evening.

It is envisaged that this Officer will provide a balanced programme of activities and events that the whole of the club’s membership can enjoy, providing a social backdrop to the club’s on-court activities thereby creating a social and vibrant club.

Responsibilities

The Events and Social Officer position is a yearly elected post whose proposals will require the approval of the club management committee. The post holder will be responsible for any events and social sub-committees and will be responsible for the club’s entertainment budget.

Training and Support

Training requests will be considered on individual basis when brought forward either by the post holder or the Head Coach. The Membership Officer will receive mentoring from the Head Coach.

Commitment

The time commitment of this post is envisaged to be 3-4 hours each week, rising to 5-6 hours per week during peak times, such as during freshers events in October and in the approach to the club’s annual Christmas social and end of season Awards Evening.

In addition, the Membership Officer is expected to:

  1. Attend all club committee meetings.
  2. Attend disciplinary committee meetings.
  3. Act as the club’s representative at other meetings as requested.

Main Duties

  1. Events Management
    1. Identify and promote possible events, both within the club, the university and nationally, that may appeal to club members and if sufficient demand organise attendance.
    2. Organise trips to tournaments abroad if there is percieved demand from the club’s membership.
    3. Work with Team Managers to promote home games and help generate spectator numbers.
    4. Organise the club annual awards evening, and recruit individuals to assist in the planning and setting up of this key event.
  2. Social Programme
    1. Create a year round social programme with activities suitable for all members – to include a Christmas social, and at least two activities every 3 months.
    2. Consult with club members as to the type of social activities they would like to see organised.
    3. Manage the club’s entertainment budget, providing regular feedback on expediture and income.
  3. Leadership and Management
    1. Recruit, as appropriate, individuals to form sub-committees for individual events and co-ordinate their efforts.
    2. Chair sub-committees and provide guidance and planning.
    3. Ensure that all events and social activities remain within budget.
    4. Work with the management committee to maximise potential revenue from social events for the benefit of the club’s members.
  4. Welfare
    1. Make suggestions to the management committee how the club can provide better service for its membership.
    2. Complete any necessary paperwork and risk assessments related to planned social activities.
    3. Organise activities and events that engage with all members to help create a vibrant and social club.

Expenses

All out-of-pocket expenses, such as telephone, printing and postage costs, will be reimbursed by the club. Funding for projects must be first approved by the management committee.

The Membership Officer is entitled to 20% discounted membership fees.
